Data Retention Policy
1. Overview
HippoQuote retains account, customer, estimate, invoice, and payment-related data for as long as reasonably necessary to provide the Service, comply with law, resolve disputes, enforce agreements, and maintain legitimate business records.
2. Active Account Data
While your account remains active, we generally retain the data associated with that account, including:
- Customer records and contact information
- Estimates, invoices, payment records, and reminder history
- Activity logs, workspace settings, and business profile details
- Subscription, billing, and support records
3. Cancellation, Suspension, and Account Closure
If you cancel a paid subscription, your subscription benefits continue until the end of the current paid billing period unless we state otherwise. If your account is suspended for failed payment, abuse, or a policy violation, access to some or all features may be limited during the suspension period.
If you request account deletion, HippoQuote may promptly delete the account, workspace, and related application data from active systems. Once deletion is completed, reactivation or recovery of the deleted account may not be possible.
4. Export and Deletion Timing
You are responsible for exporting any data you want to keep before requesting account deletion. After deletion is requested and processed, information may be permanently deleted, anonymized, or aggregated so that it can no longer reasonably identify you or your customers.
5. Backup Data
Deleted data may continue to exist in encrypted or protected backups for a limited time before those backups are cycled out or overwritten. Backup retention may continue for up to 30 days after deletion, subject to operational requirements.
6. Legal, Tax, and Compliance Retention
Some information may be retained longer where reasonably necessary for tax, accounting, payment dispute handling, fraud prevention, legal claims, audit, regulatory compliance, or law-enforcement obligations.
7. Data Deletion Requests
To request deletion of your account data, contact support@hippoquote.com with your account details. We will review and process requests in accordance with applicable law, our contractual obligations, and this policy.
